This privacy policy applies to all data that Pro Systems collects and processes from customers, suppliers and visitors to our website.

1 Explanation of the structure of this Privacy Policy
In this Privacy and Cookie Policy, we describe what personal data Pro Systems processes to provide a specific service and what that means exactly.

2 What data do we process for what purpose and how do we get it?

Customer information:
As a supplier to our customers, it is necessary to register our customer data. This helps us to execute our agreements. This data includes: Company name, name of the contact person, postal address, delivery address, email address & telephone number. We receive this information in writing, by email or by telephone from our customer. There is also a contact form on the website; data sent to Pro Systems via that form will not be kept longer than necessary for the purpose for which it was sent.

Supplier information:
As a customer of our suppliers, it is necessary to register our supplier data. This helps us to execute our agreements. This data includes: Company name, name of the contact person, correspondence address, email address & telephone number. We receive this information in writing, by e-mail, by telephone or we retrieve it ourselves via our supplier's website.

Information visitors website:
In order to get an idea of the visitors (numbers, country of origin) of our website, we only record data regarding the presence and click behavior of our visitors. For this we use tooling such as Google AdWords & Analytics. No further analyzes are performed based on IP addresses or other data. We keep data for this purpose at least 1 year after the last use of the website. This topic is further elaborated under point 5.

3 What data do we process for questions & complaints?
When you ask Pro Systems a question or make a complaint or when you contact us by phone, e-mail, social media or post, we can provide your contact details (such as company name, name, address, place of residence, gender, telephone number and / or e-mail address) to handle your question or complaint and, if necessary, to approach you later with additional information. We only use this personal data for this purpose and your personal data is only accessible to those within Pro Systems who deal with your question or complaint.

We do not store questions, complaints and your contact details for more than 2 years, unless the nature of the question or complaint requires us to keep it longer.

4 Camera security
We protect our facility with cameras to protect our employees, customers, suppliers and property. These cameras are clearly visible and when entering our location, attention is drawn to the presence of camera surveillance.

We do not store video images that we register with our security cameras for longer than 14 days, unless there are good reasons to keep the images longer (for example, when they are important for a police investigation). Then we overwrite these images.

5 Websites of Pro Systems
Pro Systems offers a number of web pages, including the SSL-secured website https://www.prosystems.nl.

When you visit the Pro Systems website, we process a number of data (IP address, page visit) in order to provide the functionalities of the online information and to manage it technically. Therefore, we do not use cookies to extensively analyze the surfing behavior of our visitors, but only necessary functional cookies for the management of the website.

6 Feedback from the customer
Pro Systems wants to continuously improve its services, for which we can ask you for feedback after we have asked your permission. With that information we can, for example, better organize our showroom and websites and make any adjustments or repairs. From time to time we may therefore ask questions about your experience when using our products and services, for example during or after the realization of a project. You decide whether and what information you would like to give us about your experience. We link your feedback to other information we have about you such as your previous projects to investigate how we can improve services. If we have additional information for you, we may contact you at a later time to respond to your feedback.

We keep your feedback for the period that we need to make any adjustments to our systems and, if necessary, to inform you about how we have processed your feedback over a period that does not exceed 12 months. We will then delete this information.

We process your data to send our newsletter, information and offers. If you no longer wish to receive this newsletter, information or offers, you can unsubscribe in the manner indicated in the newsletter, information or offers.

To send our newsletter, information and offers, we process your subscription to the newsletter and the contact details you have provided, such as your email address. Optionally, we can also ask you for your name and gender so that we can address you personally.

Pro Systems engages third parties (e-mail and mail processors) in the execution of its services and other business activities.
